Track Who Viewed Your Shared Documents

Sharing a Document Is Not the Same as Knowing It Was Read
You email a 40-page investor deck to twelve VCs. A week later, two respond. What happened with the other ten? Did they open the deck? Did they read past the team slide? Did the partner see it, or did it die in an associate's inbox?
Email attachments give you zero visibility. You send a file and hope for the best.
PaperLink replaces hope with data. Every shared document comes with a full analytics dashboard showing who viewed it, which pages they read, how long they spent on each one, what device they used, which country they viewed from, and whether they downloaded the file.
What PaperLink Tracks
Every time someone opens a shared link, PaperLink records a view session with two layers of data:
Session-level metrics capture who the viewer is and how they engaged overall:
| Metric | What it tells you |
|---|---|
| Viewer email | Who opened the document (if email verification or login is required) |
| Country | Where they viewed from (detected automatically via IP geolocation) |
| Device type | Desktop, mobile, or tablet |
| Browser and OS | Chrome on Windows, Safari on iOS, Firefox on Linux - full detection |
| Session duration | Total time from open to close |
| Download status | Whether they saved the file (if downloads are enabled) |
| Timestamp | Exact date and time the document was opened |
Page-level metrics track engagement on every single page:
| Metric | What it tells you |
|---|---|
| Time per page | How many seconds the viewer spent on each page |
| Pages viewed | Which pages they opened and which they skipped |
| Completion rate | Percentage of total pages viewed in the session |
| Page heatmap | Aggregated view showing which pages attract the most attention across all viewers |
This two-layer approach answers both "who?" and "what did they actually read?"
Viewer Identity: From Anonymous to Named
The depth of identity data depends on how you configure the sharing link:
No gate (open link). PaperLink still tracks the view - country, device, browser, duration, and pages viewed. The viewer is identified by a hashed IP address. You see engagement data without personal identity.
Email verification enabled. The viewer enters their email before accessing the document. Every metric is now tied to that email address. You know that maria@acme.com spent 4 minutes on the pricing page and downloaded the file at 3:47 PM.
Login required. Only registered PaperLink users can view the document. Identity is confirmed through OAuth (Google, LinkedIn, or Telegram) - not self-reported.
Agreement gate enabled. The viewer signs your NDA before accessing the document. Their name, email, and IP are captured as part of the signature record, and the viewing session is linked to the signed agreement.
Each layer adds confidence to the identity. An open link tells you someone in Singapore spent 8 minutes on your proposal. An email-verified link tells you it was your prospect's CFO.
Combine email verification with password protection for maximum control. The viewer enters the password, verifies their email, and every subsequent action is attributed to their identity.
Page-by-Page Engagement
Session duration tells you how long someone had the document open. Page-level analytics tell you what they actually read.
PaperLink records time spent on every page, independently for each viewer. This creates a page engagement heatmap across all views of a document - a visual map of which pages attract attention and which get skipped.
What this reveals:
-
An investor opens your 30-page deck. They spend 45 seconds on the team slide, 3 minutes on the financial projections, and skip the appendix entirely. You know exactly where their interest lies.
-
A potential acquirer reviews your due diligence folder. The page heatmap shows that every viewer lingers on the customer concentration analysis. That is the section to address in your next meeting.
-
A client reviews a 78-page legal document. They spend 6 minutes on clause 4.2 (liability limitations) and 30 seconds on everything else. Your lawyer knows which clause to discuss.
The heatmap aggregates data across all viewers, so you can see patterns - not just individual behavior. If eight out of ten viewers skip page 12, that page has a problem.
Download Tracking
When downloads are enabled on a link, PaperLink records every download event:
- Who downloaded - attributed to the viewer's email (if captured) or session
- When - exact timestamp
- Download count - total downloads per link and per viewer
The analytics dashboard shows download counts alongside view counts, so you can see the ratio. A document with 50 views and 2 downloads tells a different story than one with 50 views and 45 downloads.
Folder and Data Room Analytics
For data rooms with multiple documents, PaperLink aggregates analytics at the folder level:
- Total views across all documents in the folder
- Unique visitors deduplicated across documents (same viewer reading three files counts as one unique visitor)
- Per-document breakdown - views, visitors, average duration, completion rate, and download count for each file
- Child folder breakdown - nested folder analytics with document counts and engagement
This gives deal teams a single dashboard for the entire data room. You see which documents in your due diligence package attract the most attention, which ones get ignored, and which viewers are the most engaged overall.
Privacy by Design
PaperLink hashes viewer IP addresses using SHA-256 before storage. The raw IP is never persisted in the database. Older view records can be anonymized further - removing IP data entirely while preserving engagement metrics.
Country detection uses server-side geolocation headers, not client-side tracking scripts. No cookies are set for analytics purposes. The viewer's browser is not fingerprinted beyond the standard user agent string.
PaperLink tracks page-by-page viewing analytics including time spent per page, viewer country, device type, and download events - all without client-side cookies or tracking scripts.
Analytics Combined with Access Controls
Every sharing control in PaperLink feeds data into the analytics dashboard:
| Control | What it adds to analytics |
|---|---|
| Email verification | Viewer identity - every metric tied to an email address |
| Password protection | Only authenticated viewers appear in analytics - no noise from bots or crawlers |
| Agreement gate | Signature record linked to viewing session - legal proof of access |
| Download permission | Download events tracked and attributed to specific viewers |
| Login required | OAuth-verified identity with user profile data |
| Expiration date | Analytics capture engagement within the active window only |
The more controls you enable, the richer your analytics data becomes.
Who Uses Document Analytics
Founders raising capital. Share your pitch deck with twenty investors. Know which five read past the first page. Follow up with the three who spent time on your financial model - they are the serious ones.
Sales teams tracking proposals. Send a proposal to a prospect's buying committee. See that the VP of Engineering read every page twice, the CFO focused on pricing, and the CEO has not opened it. Adjust your follow-up accordingly.
Legal teams managing deal rooms. Monitor which counterparty stakeholders reviewed which documents during M&A due diligence. The page heatmap reveals where concerns are concentrated - before anyone raises them in a meeting.
Consultants proving deliverable review. Share a final report with your client. Analytics confirm that the CMO opened it, spent 12 minutes across all sections, and downloaded a copy. No more "I never received the report" conversations.
From Sent to Read
PaperLink turns document sharing from a one-way broadcast into a tracked interaction. You stop guessing whether someone read your document and start knowing - with page-level detail, viewer identity, and engagement metrics that inform your next move.
Every shared document deserves more than a read receipt.
