Add a Business Client

A business client is a company or organization you invoice. PaperLink stores their name, address, bank details, and tax information so it populates automatically on every invoice and estimate.

PaperLink supports two client types: Company (business entity) and Individual (personal client). This article covers the Company type. Choose this when your client is a registered business.

Steps

  1. Open Clients from the sidebar.
  2. Click New Client in the top-right corner.
  3. Select Company as the client type. The type selector appears only when creating a new client - you cannot change it later.
  4. Fill in the fields across eight tabs.
  5. Click Save at the bottom of the last tab.

Only Company Name is required. All other fields are optional - fill them in when you need them on your documents.

Form Tabs

Basic Information - identify the client.

  • Company Name - the legal name that appears on invoices and estimates.
  • Base Currency - the default currency for documents sent to this client.

Contact Information - how you reach the client.

  • Phone - the client's business phone number.
  • Email - the client's business email. PaperLink suggests common domain completions as you type.

Address - the client's registered business address. Appears on invoices.

  • Street Address, City, State, ZIP Code, Country.
  • State accepts two-letter abbreviations (NY, CA, TX).

Legal & Registration - the client's business structure and identifiers.

  • Legal Entity Type - select from: Sole Proprietorship, LLC (Single-Member or Multi-Member), C-Corporation, S-Corporation, Partnership, Limited Partnership, Non-Profit Organization, or Cooperative.
  • Registration Number - the client's state or federal registration number.
  • DBA Name - trade name, if different from the legal name.
  • Account ID - your internal identifier for this client (for example, ACC-12345). Use it to match PaperLink records with your accounting system.
  • Logo URL - a link to the client's logo image.

Account ID is unique to clients - your own company does not have this field. Use it to store a CRM reference, ERP code, or any external identifier you use to track this client.

Primary Banking - the client's main bank account.

  • Bank Name, Bank Address, Account Number, Account Holder Name, Account Type.
  • IBAN - 15 to 34 characters, starts with a two-letter country code. PaperLink formats it automatically.
  • SWIFT / BIC - 8 or 11 characters identifying the client's bank internationally.

Regional Banking Codes - country-specific identifiers.

  • Routing Number (US) - 9-digit ABA routing number.
  • Sort Code (UK) - 6-digit sort code (format: XX-XX-XX).
  • BSB (Australia) - 6-digit Bank-State-Branch code.
  • Transit Number (Canada) - 5-digit transit number.
  • Institution Number (Canada) - 3-digit institution number.

Correspondent Bank - intermediary bank details for international wires.

  • Correspondent Bank Name, SWIFT, Account, Address.

Most clients do not need correspondent bank details. Leave this tab empty unless the client specifically provides intermediary bank information for receiving payments.

Tax Information - the client's tax identifiers.

  • Tax ID / EIN (US) - 9-digit Federal Employer Identification Number.
  • VAT Number (EU) - starts with a two-letter country code.
  • ABN (Australia) - 11-digit Australian Business Number.
  • GST Number (Canada/India) - 9 digits followed by RT0001.
  • Individual Tax Number (ITIN) - 9-digit Individual Taxpayer Identification Number.

What Happens Next

After saving, the client appears in your Clients list. When you create an invoice or estimate, pick the client from the selector - PaperLink fills in their name, address, and tax details on the document automatically.
